Vendor Terms & Conditions

By purchasing a vendor table and participating in East Coast Collectibles Convention (EC3CON), vendors agree to the following terms and policies.

Venue

Event location: Mohegan Sun — Earth Expo Center

Load-In & Load-Out

Vendor Load-In: Information to be announced.

Vendors must be respectful to the loading dock team during load-in and load-out. Disrespect toward Demers staff or any signs of aggression will not be tolerated and may result in immediate removal.

Please unload and move vehicles from the loading dock area promptly. Vendors should unload, move their vehicle, and then complete setup.

Once the loading dock closes, late load-in and early load-out are not permitted.

Vendors are responsible for transporting their merchandise. Carts are not provided.

All vendors and displays must be removed no later than 2 hours after the event ends.

Setup & Attendance Requirements

All vendors should be set up before 9:00 AM Early Bird Admission.

Arriving late for setup or leaving early must be discussed with the promoter in advance. Vendors arriving after the show begins may be denied setup and will not be refunded.

Failure to attend does not qualify for a refund.

Vendor Badges & Access

Each vendor must check in to receive badges. Badges will be given to the first member of the group who checks in.

If your group arrives separately, please meet them in the hallway to distribute badges. Additional badges are available at check-in for an additional fee.

Vendor badges must be visible at all times for re-entry. Security will enforce this policy.

Only individuals with vendor badges are allowed behind vendor tables.

Anyone without a vendor badge may not enter the Expo Center until the show begins. During show hours, a vendor badge or attendee wristband must be visible.

Vendor Space & Display Rules

Vendor space includes:
• 8-ft table
• Chairs
• Tablecloth

Additional tables or chairs are not permitted.

Free-standing shelves are allowed provided they do not block walkways or neighboring vendors.

Walkways must comply with Fire Marshal regulations. Vendors may not block entrances, exits, aisles, or intrude into neighboring vendor space.

Sales & Activity Restrictions

Counterfeit or fake merchandise is strictly prohibited.

Raffles, games of chance, wheels, dice games, and similar activities are not allowed without prior approval.

Vendor tables may not be resold or sublet. If someone is filling in, vendors must forward all event communications and provide their name for check-in.

Vendor Conduct & Community Standards

Vendors must behave professionally and respectfully toward vendors, staff, guests, attendees, security, and venue staff.

Violence, theft, threats, harassment, mistreatment, or aggressive behavior — including behavior on social media or Discord — will not be tolerated.

The promoter, EC3 team, and security reserve the right to remove, dismiss, or ban vendors from EC3CON (including Trade Night) at any time.

To respect other vendors, only badge holders may be behind vendor tables.

Payments & Refund Policy

Vendor table purchases are final.

There is a no-refund policy except in emergency situations at the promoter’s discretion.

Vendors arriving after the show begins may be denied setup without refund.

Vendor Promotion Expectations

Vendors are expected to help promote the show by sharing and reposting event content on social media alongside EC3CON marketing efforts.

Legal & Liability

Vendors must comply with all local, state, and federal laws.

Sales tax collection is the responsibility of the vendor.

Vendors are responsible for their merchandise and property. EC3CON, the promoter, sponsors, and Mohegan Sun are not liable for loss, theft, or damage.

Vendors agree to hold harmless the promoter, EC3 team, sponsors, and venue from claims, damages, losses, or expenses arising from participation.

Enforcement & Removal

EC3CON reserves the right to cancel vendor participation, reassign space, or remove vendors for violations or suspected violations of these policies.

EC3CON maintains an extensive waitlist. Vendors who do not agree to these terms may request release of their table.

Agreement

Vendors agree to abide by all rules, policies, and procedures and accept responsibility for all members of their party.

Purchasing a vendor table constitutes acceptance of these terms.
